Updated November 6, 2026. Quick answer: Generally yes, for capturing receipts. Seven of the eleven products read (SparkReceipt, Dext, Wave’s Receipts plan, FreshBooks, Zoho Expense, Expensify and Xero) describe capturing a receipt by photo, email or upload, and none of the pages read states that a bank connection is required to do it. What a bank connection adds is matching: QuickBooks, Xero and Expensify say a captured receipt is matched to a card transaction. Without a feed you do that matching yourself against the statement.
On records for a one-person business: a separate business bank account and reconciling a bank statement to your books.
What a bank connection does, and what you give up without one
A bank or card connection pulls your transactions into the app automatically. Three vendors describe what that buys: QuickBooks says each stored receipt is automatically matched to transactions, Xero says it cross-references your extracted data with your bank records and highlights matches, and Expensify says a scanned receipt matches to the card transaction automatically if the card is linked to Expensify. That matching is the thing you give up.
What you do not give up is the record itself. A receipt with its date, amount, vendor and purpose is a record whether or not any transaction was matched to it. Without a feed you reconcile by hand: once a quarter, compare the spreadsheet against each statement, which is the quarterly hour described on Bookkeeping for a One-Person Business. If the app takes uploaded statements instead of a live connection, you can load the statement yourself and still avoid giving the app a login to your bank.
The IRS recordkeeping page does not mention a linked account. It says “You may choose any recordkeeping system suited to your business that clearly shows your income and expenses.” It also says “you must keep your records that support an item of income, deduction or credit shown on your tax return until the period of limitations for that tax return runs out”, so keep the statements you reconcile against, not only the receipts.
Receipt capture and bank connections, product by product
Plan names, prices and limits are as printed on each vendor page on November 6, 2026, and vendors change them. Where a page does not say whether a bank connection is needed, the cell says so rather than guessing.
| Product | How a receipt gets in (vendor pages, Nov 6, 2026) | What the bank link or feed adds (Nov 6, 2026) | Is a bank connection required? (Nov 6, 2026) |
|---|---|---|---|
| SparkReceipt | Capture by phone photo, a forwarded email, or a connected Gmail, Outlook or IMAP inbox | You can also upload a bank or credit-card statement as a PDF, CSV or Excel file and it extracts the transactions. Live connections are limited by plan: Pro includes 1 and Elite includes 10, for US and Canada banks | The help page presents the upload as an alternative to connecting. It does not say a bank connection is required to capture receipts. |
| Dext | Upload documents by file, email or the mobile app | To bring bank transactions in, you set up at least one bank account, then either connect a feed or upload bank statements manually as files. Bank Match can still identify potential matches using transaction data in Dext | The pages read do not say a bank account is required for receipt documents alone. |
| QuickBooks Online | Photograph receipts in the mobile app; each is stored and matched to transactions. Receipt data (date, vendor, amount, payment method) is extracted, and QuickBooks matches it to existing expenses or creates new ones. QuickBooks Free can upload receipts | Matching to transactions needs transactions to match. | Whether receipt capture requires a bank connection is not stated on the pages read. |
| QuickBooks Solopreneur | Capture receipt photos on your phone and match them to transactions. Free caps receipts at 2 per month; Lite and above state unlimited receipts | The page says setup is quick once you sync bank or credit-card transactions | Whether capture requires a bank connection is not stated. |
| Xero (Hubdoc) | Photograph a receipt in the Xero Accounting app, send documents to your Xero email address, or drag and drop files on the web. The page says Smart Document Capture is free on every small business plan | Xero cross-references the extracted data with bank records and highlights matches | Whether capture requires a bank feed is not stated on the pages read. |
| FreshBooks | Capture by photo, upload or email; unlimited receipt scanning on Plus, Premium and Select | Not stated on the pages read. | No bank connection is mentioned as a prerequisite on the receipt-scanner page |
| Wave | The Receipts plan: upload from mobile, desktop or a forwarded email | Pro adds auto-import of bank transactions; its feature list reads: everything in receipts, plus | No bank connection is mentioned as a prerequisite for the Receipts plan; auto-import of bank transactions is listed under Pro. |
| Zoho Expense | The Free plan includes receipt capture with AI OCR and expense tracking via personal cards | Real-time card feeds are listed under Standard | Not stated whether capture requires a connection. |
| Expensify | SmartScan receipts are free | A scanned receipt matches the card transaction automatically if a card is linked; personal card import is listed on the Free plan | A bank connection is not stated as required on the pages read. |
| Shoeboxed | Capture methods were not read for this page. | Pro and above list accounting integrations (QuickBooks Online and Xero) | A bank-feed requirement is not stated on the pages read. |
| Smart Receipts | Capture methods were not read for this page. | Bank connections (US and Canada, read-only) are an upper-tier feature, listed under Max and not under Free or Pro | Free and Pro receipt capture does not list bank connections |
| Camera, folder and spreadsheet (no software) | Photograph the receipt, name the file by date and vendor, drop it in one folder. | None. You reconcile against the statement yourself. | $0. |
Reader fit
You will not link accounts, and you want an app anyway. SparkReceipt and Dext each describe a statement-upload route next to the live connection, so you can feed in a downloaded statement and keep the app away from your bank login. FreshBooks, Wave’s Receipts plan and Zoho Expense’s Free plan describe receipt capture without mentioning a bank link.
You already use QuickBooks or Xero. Their pages describe capture together with matching to transactions, so the bank connection is part of what they offer. If you would rather not link accounts, the folder method plus a quarterly reconciliation is still a complete record.
You want the lowest-risk start. Use the camera and a dated folder for a quarter, then decide whether matching is worth a subscription. Expensify’s page says SmartScan is free, Zoho Expense lists receipt capture on its Free plan, and Smart Receipts is free for manual entry; each has limits shown in the table.
Common mistakes
- Reading optional into a page that is silent. For the products marked not stated above, confirm with the vendor before you sign up.
- Skipping the reconciliation. Without a feed nothing flags a missing receipt, so compare the spreadsheet with each statement every quarter.
- Uploading a statement without checking what it exposes. A downloaded statement can carry account numbers; store it in the same protected place as the receipts.
- Confusing capture with matching. A captured receipt is a record; a matched transaction is a convenience.
