Updated November 6, 2026. Quick answer: Four accounting products say their own plan captures receipts: QuickBooks (photo capture, matched to transactions), Xero (Smart Document Capture, free on every plan), FreshBooks (unlimited scanning on Plus and above) and Wave (on Pro or the Receipts add-on). A separate receipt app adds something only where it fills a gap those pages state, such as a 2-receipt monthly cap, no stated bulk image export, or an accountant who works across tools; otherwise it is a second subscription for the same job.
On records for a one-person business: a free digital receipt folder method.
The decision
The question is not which app scans best. This page makes no claim about that, because Clear Money Guide has not used any of these products. The question is narrower: if your accounting software already takes a photo of a receipt, what does a second subscription add that the first does not already do, according to the vendors’ own pages?
The IRS does not require a particular tool: “You may choose any recordkeeping system suited to your business that clearly shows your income and expenses.” That sentence is why the answer can be “neither” for a one-person business with a phone, a folder and a spreadsheet.
What the accounting products say about their own capture
| Product | Receipt capture as the vendor describes it | Limit or gap on the pages read | List price (page read) |
|---|---|---|---|
| QuickBooks Online | The mobile app takes photos of receipts, and each receipt is stored and automatically matched to transactions. It pulls the date, vendor, amount and payment method, then matches to an existing expense or creates one | The pages read do not state which plans include receipt capture, a cap, a bulk image export, or what happens to data after cancelling. | Simple Start $38 a month list; Free $0 (Nov 6, 2026). QuickBooks Free can upload receipts |
| QuickBooks Solopreneur | The mobile app captures receipt photos, tracks GPS miles and matches receipts to transactions | Free allows 2 receipts a month; Lite and above print unlimited receipts | Lite $20 a month list; Simple Start $38; Free $0 (Nov 6, 2026) |
| Xero (Smart Document Capture, Hubdoc) | Photograph a receipt with the Xero app, send it to a Xero email address, or drag and drop files; Xero captures the amount and date and says Smart Document Capture is free on every plan | A bulk export of the receipt images is not stated; the page says the original photo or file is attached to the record. After a cancel notice period Xero archives the organization’s data and recommends you export during that time | Early $27 a month; Growing $59; Established $97; billed monthly (Nov 6, 2026) |
| FreshBooks | Receipts can be captured by photo, upload or email; unlimited receipt scanning on Plus, Premium and Select | FreshBooks describes bulk download of expense receipt images and of uploaded receipts and bills. After you cancel, the account stays active to the end of the billing cycle and the data is preserved | Lite $23 a month list; Plus $43; Premium $70 (Nov 6, 2026) |
| Wave | Receipts can be uploaded from mobile, desktop or email; the receipts scan feature is open to admin and editor users | A ZIP of all uploaded receipt images in their original file types is among the exports; previously scanned receipts stay as transactions after you cancel the subscription | Receipts plan $72 a year; Pro $190 a year; Starter $0 (mobile scanning needs Pro or Receipts) (Nov 6, 2026) |
What a separate receipt app says it adds
| Product | Link to accounting software | Export and exit | List price (page read) |
|---|---|---|---|
| SparkReceipt | Publishes categorised expenses with the receipt image attached to QuickBooks Online or Xero; the integrations page also lists FreshBooks and Zoho Books | A full history with every original file can be exported as one ZIP, and records can be exported as PDF, CSV or XLSX whether or not the subscription is active, with no time limit | Pro $69.00 billed annually (50 documents a month); Elite $129.00 (Nov 6, 2026) |
| Dext (Business plan) | The Business plan includes publishing to over 36 accounting software integrations, and the help center has connection guides for QuickBooks Online and Xero | A ZIP export holds documents in their original file format with no item limit, up to 1 GB per export. After a subscription expires the account and data download remain accessible, though Dext reserves the right to delete accounts | Business plan $302.50 billed annually (250 documents a month, 5 users) (Nov 6, 2026) |
| Shoeboxed | Exports to CSV, PDF and QuickBooks Online from the receipts page | Every plan includes audit-proof reports and CSV export; Shoeboxed says to export before cancelling | Starter $97 a year; Pro $297 a year (Nov 6, 2026) |
| Expensify | Exports to an accounting integration, to CSV or to PDF | Receipts can be downloaded as a single ZIP | Free for individuals; Collect $5 per member a month (Nov 6, 2026) |
When a separate app adds something
Three gaps are visible on the pages above. A cap. QuickBooks Solopreneur Free prints 2 receipts a month; a reader at that tier who has more receipts than that is paying for a limit, not a feature. No stated image export. Xero’s pages read do not state a bulk export of the receipt images, and the QuickBooks pages read state neither an image export nor what happens to data after cancelling. A separate app that states a ZIP of originals gives you a second copy you control; so would the camera-and-folder method. An accountant who works across tools. SparkReceipt says it publishes categorised expenses with the receipt image attached to QuickBooks Online or Xero, and Dext says its Business plan publishes to over 36 accounting software integrations. If your accountant works in one of those, the second app feeds their tool.
When it is a second subscription for the same job
If your plan already captures receipts without a stated cap (FreshBooks Plus and above print unlimited receipt scanning; Xero says capture is free on every plan), and the export you would need is stated (FreshBooks describes bulk download of receipt images), a separate app repeats work the first one does. Check the cap and the export on your own plan before adding a subscription. A single sentence on the vendor’s page is a stated fact; its absence is not proof the feature is missing, so ask the vendor before you rely on either.
Which setup fits which reader
You already pay for QuickBooks or Xero and want documents processed before they reach the books. Dext’s pages read describe publishing to QuickBooks Online, Xero and more than 36 other integrations, which is the arrangement built around an accounting tool you keep.
You are dropping accounting software, or never had it. SparkReceipt’s pages describe an Accountant role that is free on every plan, a ZIP of every original file, and records that stay exportable after the subscription ends. That fits a reader who wants the receipts in one place and the ledger in a spreadsheet.
You are on FreshBooks Plus or higher, or on Xero, and your volume is modest. The bundled capture may be enough. Add a separate app only if you hit a stated cap or need an export the pages do not describe.
You file alone with a phone and a folder. You need neither. The cost table at what receipt software costs at 20, 50 and 200 receipts a month shows where the free routes stop.
Common mistakes
- Paying for two capture tools that do the same thing. Check the plan you already have before adding a subscription.
- Treating a missing sentence as a missing feature. The pages read do not state some limits; confirm with the vendor.
- Letting the only copy of your receipt images live inside one vendor’s account. Xero and QuickBooks pages read do not describe an image export; keep a folder copy.
- Assuming a recommendation here is a test result. It is a reader-fit reading of what the vendors print, dated November 6, 2026.
