Updated November 6, 2026. Quick answer: Six of the eleven products read state both a data export and a way to get the receipt files out: SparkReceipt (CSV, Excel and PDF, plus a ZIP of the originals, no export cap on any plan), Dext (CSV up to 50,000 items, ZIP in original format), FreshBooks, Expensify, Wave and Zoho Expense. QuickBooks and Xero do not state a bulk image export on the pages read, and Shoeboxed exports PDFs with the images up to a stated limit. Keep the images at least as long as the IRS retention periods (3 years in the ordinary case), and test the exit while you are still subscribed: export one month, open the CSV, and open three of the images.
On records for a one-person business: a free digital receipt folder method.
Why the exit test matters
A receipt app is only as good as your ability to leave it with your records intact. Revenue Procedure 97-22 tells taxpayers to “retain electronically stored books and records so long as their contents may become material in the administration of the Internal Revenue laws under § 1.6001-1(e)”, and says that records of a taxpayer who “ceases to maintain the hardware and the software necessary to satisfy the conditions of this revenue procedure will be deemed destroyed by the taxpayer, unless the electronically stored books and records remain available to the Service in conformity with this revenue procedure”. Those are the IRS’s words about electronic storage systems; this page does not claim any app meets them. The practical point is simple: if the only copy of your receipt images sits inside a subscription, cancelling is a records decision. The IRS’s retention table says “Keep records for 3 years if situations (4), (5), and (6) below do not apply to you” (the ordinary case, with longer periods in its table), so the images need to outlive any one subscription.
The five questions
Before you rely on any app, check: (1) can you export the transaction data as a CSV or Excel file, (2) can you export the original receipt files, not only a report, (3) can you export them in bulk, (4) what the vendor says happens to your data after you cancel, and (5) whether the export is limited to certain plans or roles. The table answers them from each vendor’s own pages. Plan names, prices and limits are as printed on each vendor page on November 6, 2026, and vendors change them.
The exit test, product by product
| Product | CSV or Excel data (vendor pages, Nov 6, 2026) | Original receipt files (Nov 6, 2026) | After you cancel (Nov 6, 2026) |
|---|---|---|---|
| SparkReceipt | CSV, Excel and PDF with no export cap on any plan; each CSV or Excel row carries a clickable link to the original receipt image | Original receipt files can be exported in a ZIP package; PDF exports can embed receipt images; a full history can be exported as one ZIP | Cancelling never deletes receipts; a web account becomes read-only after the paid period, with sign-in, browsing and export still available. Records stay exportable as PDF, CSV or XLSX whether or not the subscription is active |
| Dext | CSV export of extracted data, up to 50,000 items per export; the page does not state a plan restriction. Export is in the web app, not the mobile app | ZIP export keeps documents in their original file format with no item limit, up to 1 GB per export; PDF export is limited to 250 items. A CSV contains data, not images | After a subscription expires, extraction stops but the account and data download remain accessible; Dext reserves the right to delete accounts after expiry and recommends exporting before cancelling |
| QuickBooks Online | Reports can be run and exported on the QuickBooks Solopreneur Simple Start page; QuickBooks Online Advanced syncs data with Excel A transaction-level CSV export was not found on the pages read. | An image export is not stated. | What happens to data after cancelling is not stated on the pages read; plans can be cancelled at any time. |
| Xero | Any Xero report can be exported as PDF or spreadsheet A transaction-list CSV export is not stated on the pages read. | The original image stays attached and stored with the entry A bulk export of receipt images is not stated. | One month’s notice to cancel, after which the organization is archived; Xero recommends exporting during the notice period. Reactivating restores access within the retention period, after which data is permanently deleted |
| FreshBooks | Expenses can be exported to CSV by date and currency; reports export to CSV through Export for Excel | Receipt images for expenses can be downloaded in bulk, and uploaded receipts and bills can be downloaded for backup or audit | After cancelling, the account stays active to the end of the billing cycle and the help page says data remains intact. The terms say FreshBooks may keep an archival copy and that inactive accounts may be deleted |
| Wave | An account data export includes accounting XLS or CSV files (journal entries, bills, customers, vendors); only an Admin can export | A receipts export is a ZIP of all uploaded receipt images in their original file types | Access to subscription features ends at period end, but previously scanned receipts remain as transactions; Pro subscribers keep data and drop to standard features |
| Zoho Expense | Reports export to CSV or XLS(X); an organization backup is a compressed file of CSV files, with a 15-day wait between backups | Receipts of approved reports can be exported as a ZIP, under 4 GB and 6 times a month | Downgrading to Free keeps existing data, limited to three users A cancellation policy is not stated on the pages read. |
| Expensify | Export as CSV with a default or custom template, or to an accounting integration or PDF | Receipts can be downloaded as a single ZIP, and a PDF export includes receipts | Closing an account permanently deletes your personal account and unsubmitted expenses; to stop paying but keep historical data, delete the workspace instead |
| Shoeboxed | Every plan includes audit-proof reports and CSV export; receipts can also export to PDF or QuickBooks Online | PDF reports include a table plus the original receipt images, limited to fewer than 450 receipts; a single receipt downloads as a PDF A bulk raw-image ZIP is not stated. | You cancel by phone and a representative helps you download data; export before cancelling. Downgrading to Starter keeps historical documents |
| Smart Receipts | The help-center plan table lists PDF, CSV and ZIP export on every plan, while the landing page lists them from Pro (the two pages differ) | A ZIP export is listed on every plan; what the ZIP contains is not stated on the pages read | Free and Lite data is stored locally on the device, Pro and Max is backed up to the cloud; the landing page says you can export or delete at any time |
| Camera, folder and spreadsheet (no software) | A spreadsheet is already a CSV. | The images are already files in your folder. | Nothing to cancel. Keep the folder backed up. |
Doing the test
Pick one month. Export the data, open it in a spreadsheet, and check that the dates, vendors and amounts match what you remember. Export the receipt files and open three of them: they should be the original photos or PDFs at a readable size. Then check that each ledger row can be tied to its image by a file name or a link, because a CSV with no way to find the image weakens the record. SparkReceipt’s exports page says the CSV and Excel rows carry a link to the original image, and Dext’s export page says a CSV holds data rather than images, so the ZIP is the part to test there.
Reader fit
You keep records for years and may change tools. The products that state both a data export and a bulk image export are the safer match: SparkReceipt, Dext, FreshBooks, Expensify, Wave and Zoho Expense, each with the limits in the table.
You are on QuickBooks or Xero already. Their pages read do not state a bulk image export, so a separate receipt app or a folder copy of the images may be your insurance against losing attachments.
You want no exit risk. The camera-and-folder method has no exit to test.
Common mistakes
- Testing the export only on the day you cancel. Some vendors restrict features after cancellation; test while the plan is active.
- Exporting a report and calling it a backup. A report is not the receipt file.
- Assuming an export button exists on every plan or role. Dext’s export is in the web app only, and Wave’s data export is Admin only.
- Relying on a vendor’s retention statement as your own record keeping. The IRS text above puts the responsibility on the taxpayer.
